Scheduling

  • Public title and Duration, plus Selectable durations if visitors may choose, for example "15, 30, 60".
  • Who attends, as above. In any-available mode, choose an Assignment strategy: Round-robin, Fewest bookings, Least booked time, Priority order, Random, or Invitee chooses, which lets the visitor pick a host on the page. The two "fewest" strategies count bookings over a Lookback period.
  • Offering times. The Slot interval between offered times, Buffer before and after each meeting, the Minimum notice before a time can be booked, the Maximum horizon in days, and the Hold time a picked slot is reserved while the visitor fills in the form.
  • Booking limits per day and per week.
  • Calendar busy states. Which Outlook states still count as free: Working elsewhere, Tentative, Out of office. Busy is never bookable.

Team

The hosts who attend bookings from this page. Each has a Role: Required must be free and always attends, Eligible is one of the people who may be assigned, Optional is invited but never blocks a time. Priority orders hosts for the priority strategy and Weight biases round-robin. Untick Active to pause a host on this team without removing them.

The Calendar / portal column shows whether each host has connected their own calendar, registered for the portal, or is still invited. Send invitation emails a host who has not registered yet.

Add host attaches an existing host or creates a new one with a name, email (their Microsoft 365 mailbox), title and time zone. A new host is emailed a portal invitation.

The page warns when the scheduling mode and the team roles do not match, for example any-available mode with no eligible host.
